Downloading All Files Attached to an Assessment

Questionnaire Owners and Questionnaire Admins can download all the files associated with an Assessment. This feature will export a .zip of all the files that are uploaded to an assessment, any reference files, and the assessment question and answers in a .xlsx file.

Note: This feature is available for users who are answering and evaluating assessments.

Downloading all Files

From Active Assessments

1. Navigate to the Assessments Module and click on the Active Assessments Screen. Then, click on the 3 dotsicon for the intended assessment and select Download All Files as shown below.

2. In the Export Assessment Report Window, confirm your export options and select Start Export to proceed as shown below. 

3. You may optionally select which columns to include in the export by disabling the Export all Columns toggle, and selecting the desired columns from the dropdown as shown below.

4. In the Active Downloads widget, you will receive progress updates regarding the download process.

Note: The size of the download can influence how long the .zip file is generated and downloaded.

From Assessment Screen

Alternatively, you can also download all the files associated with an assessment directly from the Evaluation Screen.

1. Within an assessment, click on the 3 dots and select Download All Files as shown below.

2. Follow steps 2 & 3 from the From Active Assessments section above.

3. In the Active Downloads widget, you will receive progress updates regarding the download process.

Please Note: The .zip file will begin downloading once the Download File link is selected. This .zip file will contain all files attached to the assessment, any reference files, and the assessment questions and answers.

Navigating to Email

If you are accessing the platform off-site, you will also receive an email notification with a link to download the file. Please refer to the email you received and click on the provided link to access and download the .zip file, as shown below.

Viewing the Download All Files Export

In addition to all uploaded and referenced files, the Download All Files feature comprises of an Excel file that contains information related to the Assessment. This spreadsheet is divided into multiple tabs, each containing specific details:

• Questions - Information about each of the questions within the assessment, including answers, clarifications, issues, and more. 
• Summary - A high-level overview of the Assessment. 
• Audit - A record detailing the actions performed on the Assessment, including the users responsible and the timestamps of each action.

Please Note: All actions captured in the Assessment History in the platform will be included in the Audit section of the exported file.
