Response360 users can utilize the External RFPs & DDQs Module to digitize questionnaires from various formats such as Word, PDF, and Excel. Once imported, questionnaires can be answered by permitted users. This article covers manually answering imported questionnaires in the platform. First, navigate to the External RFPs & DDQs Module as highlighted in the screenshot below:
Click on the name of an In Progress questionnaire you intend to answer as shown below.
Alternatively, click on the 3 dots icon in the Actions column and select the View Questionnaire option as shown below.
Questions can be answered from individual question cards or sequentially from the Add Response boxes.

From the Answering Screen, click on the Question Card you intend to answer as shown below.

In the question card, enter your response in the Answer box as shown below.
Note: You can save changes made in an Open Text answer by clicking the Save button or by clicking outside of the text editor. These options also apply to the Notes text editor.

In a question card, you can optionally add reference documents by selecting the Add Document button and entering additional text in the Notes box as shown below.

To view the question history, click the History icon as shown below.

To compare previous answers, click the Compare Answer button as shown below.

Working with Comments
While answering a questionnaire, you can add comments to individual questions to communicate with your team, flag issues, or request clarification. Comments can be edited, deleted, and reviewed through a full comment history.
Adding a Comment
To add a comment to a question, open the question in the questionnaire Answering Screen and click the Comment icon. Enter your comment in the text box and click Post to submit it.
Editing a Comment
You can edit any comment you have authored. Comments authored by other users cannot be edited.
To edit your comment, hover over it and click the Edit icon (tooltip: Edit Comment). Make your changes using the same formatting options available when posting a new comment, then click Save. To discard your changes, click Cancel.
Edited comments display an (Edited) label with the timestamp of the most recent edit. Click (Edited) to view the comment's history.
Deleting a Comment
You can delete any comment you have authored. Comments authored by other users cannot be deleted.
To delete your comment, hover over it and click the Delete icon (tooltip: Delete Comment). A confirmation prompt will appear before the comment is permanently removed from view; click Cancel to keep the comment.
Note: Deleted comments are retained in the comment history and can still be viewed there.
Viewing Comment History
The comment history provides a complete, read-only record of every comment posted, edited, or deleted on a question, including who took each action and when.
To view the history of a single edited comment, click its (Edited) label. To view the full comment history for a question, click the Comment History icon in the comment panel.
Each history entry displays the full name of the person who took the action, the action taken, and the date and time it occurred. Edited comments appear as a new history entry showing the previous and updated text, and deleted comments are highlighted and display the original comment text.
Click outside the panel, or use the close control, to close the comment history view.
Filtering Questions with Comments
To quickly locate questions that have comments, use the Comments filter in the questionnaire's filter controls. When applied, only questions with one or more comments are displayed.
The comments filter can be combined with other filters, such as status or assignee, and the filtered results count updates to reflect the number of matching questions. Clear the filter to restore the full question list.
Completing a Questionnaire

Once all answers have been provided, click the Complete button as shown below.

In the Complete Questionnaire Window, enter a date in the Date Submitted to Partner dropdown and an optional message in the Message to Collaborators box. Click the Complete button to confirm.
Note:
- The questionnaire will move to a Completed status and can no longer be amended until reopened.

When completing a questionnaire, users will be given the option to update their Answer Library with the answers provided in the questionnaire.

Navigate to the External RFPs & DDQs Module, click on the 3 dots iconand select the Re-Open option as shown below.
- From the Re-Open Questionnaire Window, click on the Continue button to proceed.
