Verification Flow for Q&A Records

Once a Q&A record is created, users who have Answer Library Write permissions have the ability to change the verification status themselves or assign other users as reviewers to verify records. Verification statuses directly influence determining the best Answer Library match when Smart Response generates answers in questionnaires/assessments. Furthermore, a verification duration schedule can be configured if recurring verification is required.

Navigating to a Q&A Record

Navigate to the Answer Library Module and select a Q&A record as shown below.

Assigning a Reviewer

  1. In the Q&A Details Screen, click the Assign Reviewer option in the Verification box as shown below.

  2. Select a user from the Assign To dropdown and click the Assign button to confirm as shown below.

  3. The named reviewer will receive an email notification for each Q&A record that is assigned to them.

Bulk Assigning a Reviewer

  1. Optionally, you can bulk assign many Q&A records to a reviewer by navigating to the Answer Library table view, selecting the Bulk Actions icon, and selecting Bulk Assign Reviewer.

  2. Use the checkbox(s) to select the Q&A records you attend to assign a reviewer. Click the Bulk Assign Reviewer button to continue as shown below.

  3. Follow steps 2 & 3 from the Assigning a Reviewer section above.

Reviewing a Q&A Record

  1. To verify an assigned Q&A record, from the Q&A Details Screen, click the Verify Q&A button as shown below.

  2. The Q&A Details Screen will show a green success message and the Q&A record will reflect a Verified status along with the reviewer's name and a timestamp.

Changing a Record Status

Answer Library users who have Write permissions can manage Q&A records by changing the approval status of a record. Records can be marked as Verified, Not Verified, and Expired. These statuses will be taken into consideration when Smart Response looks for a Q&A match.

  1. From the Answer Library Module, click on the 3 dots icon for the intended record, and select the Change Status option as shown below.

  2. Within the Change Status Window, select which status to change the Q&A record to. Once the status has been selected, click on the Change Status button as shown below.

From the Edit Screen

Alternatively, a user may also change the approval status of a Q&A record within the edit screen.

  1. Navigate to the Answer Library Module, click on the 3 dots icon for the intended record, and select the View Record option as shown below. You may also click on the question itself to view the Q&A record.

  2. Select the Pencilpencil icon.png icon under the Verification section as shown below.

Bulk Change Status

By using the Bulk Change Status, users with Answer Library Write permissions can bulk update the status of multiple Q&A records at once.

  1. Click on the Bulk Actions icon and select Bulk Change Status as shown below.

  2. Click the checkbox(s) associated with the intended Q&A record(s) or click on the column header to select all Q&A records. Once selected, click on the Bulk Change Status button to confirm as shown below.

  3. Within the Change Status Window, select which status to change the Q&A record to. Once the status has been selected, click on the Change Status button as shown below.

Setting a Verification Duration

Users can optionally set a verification duration in which a verification status will expire. Verification duration can be set to never, 1 month, 3 months, 6 months, or a year.

  1. From the Q&A Details Screen, select the Verification Duration icon in the Verification box as shown below.

  2. In the Set Verification Duration Window, set the intended verification duration and click the Set Duration button to confirm.

  3. To review a verification duration, hover over the i icon for the current status as shown below.

Note: A Verified status will expire once the set verification duration lapses.

Bulk Setting a Verification Duration

  1. Optionally, you can bulk set verification duration for many Q&A records simultaneously by navigating to the Answer Library table view, selecting the Bulk Actions icon, and selecting Bulk Set Verification Duration.

  2. Use the checkbox(s) to select the intended Q&A records and click Bulk Set Verification Duration to continue as shown below.
