Bulk Updating Answer Library Attributes

Users with Answer Library Write permissions can update primary and custom attributes across multiple Q&A records at once, instead of editing each record individually. A confirmation step shows the number of affected records before the update is applied, to help prevent accidental mass changes.

For more information on managing Q&A records, please see our full help article below:

Bulk Changing Attributes

From the Answer Library Module, click on the Bulk Actions icon and select Bulk Change Attributes as shown below.

Selecting Q&A Records

Click the checkbox(s) associated with the intended Q&A record(s), or click on the column header to select all records on the current page. If your library spans multiple pages, you also have the option to select records across all pages.

Note: The Bulk Actions button stays disabled until at least one record is selected.

Once you've made your selection, click Bulk Change Attributes to continue.

Updating Primary and Custom Attributes

In the Bulk Change Attributes window, update any primary attributes (Partner, Product, Questionnaire, etc.) or custom attributes you'd like to apply to the selected records.

Note: Any attribute left blank is not changed on the selected records. To clear an existing attribute instead of leaving it as-is, use its clear option as shown below.

Note: Guest users will only see standard attributes, such as Partner, Product, Answering, and Question ID. Custom attributes and folders are not available to guest users.

Once you've made your changes, click Save.

Confirming the Bulk Update

After clicking Save, a confirmation dialog appears before your changes are applied. This safeguard is shown for every bulk action in the Answer Library — including Bulk Change Status, Bulk Assign Reviewer, Bulk Set Verification Duration, Bulk Change Folder, Bulk Change Attributes, and Bulk Delete — to help prevent accidental mass changes.

The confirmation dialog shows the type of bulk action and the number of records that will be affected.

Confirm the dialog to proceed, or click Cancel to exit the entire flow without making any changes.

Once confirmed, a progress indicator shows while the update is applied. A confirmation message appears if the update was successful, or an error message appears if it wasn't.

FAQ

What happens if I leave an attribute blank during a bulk update?

Blank attributes are left unchanged on the selected records. To remove an existing value entirely, use that attribute's clear option instead of leaving it blank.

Does this update all my Q&A records, or just the ones I select?

Only the records you select are updated — whether that's a manual selection, everything on the current page, or every record across all pages if you choose that option.

Is the confirmation step only for bulk attribute updates?

No. The same confirmation safeguard appears before any bulk action in the Answer Library, including status changes, reviewer assignment, verification duration, folder changes, and deletions.
