Adding and Managing Questionnaires

Response360 users can utilize the External RFPs & DDQs Module to digitize questionnaires imported from various formats, industry-standard templates, and CENTRL-approved templates. Once imported, questionnaires can be edited, answered, managed, and exported for offline use.

Users with the External RFPs & DDQs Write permission can create and modify new questionnaire records. Users with the External RFPs & DDQs Read, Write, View All, and/or Modify All permissions enabled can view and/or edit questionnaires.

Adding a Questionnaire

  1. After navigation, click on the Add Questionnaire button as shown below.

  2. In the Add Questionnaire Window, enter the details in the required (*) fields.

Import Questionnaire (Original Format)

External documents in Word, Excel, and PDF formats can be imported to digitize offline questionnaires.

  1. From the Import Questionnaire (Original Format) tab, click on the + Add Word/Excel/PDF link to import an offline questionnaire. Once done, click on the Add button to proceed.

    Note: Only Word, Excel, and PDF file types are supported for document import.

  2. If an Excel sheet is imported and it contains more than one worksheet, in the Select Sheets Window, designate the sheet(s) you intend to import from the dropdown as shown below. Click the Continue button to proceed with the import.

  3. The Importing in Progress Window will indicate that questionnaires take approximately 5 to 15 minutes to complete parsing. You will receive a success notification on the platform and an email when the questionnaire is ready. Click the Back to Questionnaires button to return to the Questionnaire Screen.

    Note: Various answer types and answer options will be automatically parsed based on the source document(s).

Select From Industry Templates

Various current industry standard templates are available to source new questionnaires. Please note, this option is not available to Team Management users.

With Import Questionnaire (CENTRL Format)

Offline questionnaire data can be configured into a CENTRL-approved format for an optimized digitization of questionnaires. Please note, this option is not available to Team Management users.

Note: Existing questionnaires can be exported to a CENTRL-approved format and reimported as applicable. For more information, please refer to the section Exporting a Questionnaire below.

  1. From the Import Questionnaire (CENTRL Format) tab click on Download Centrl Import Template to download a blank import template as shown below.

  2. Click + Import CENTRL Template to import the approved template. Click Next button to confirm as shown below.

  3. Acknowledge any import errors and reimport if applicable. Click the Import button to confirm as shown below.

Managing a Questionnaire

Viewing/Editing a Questionnaire

  1. From the External RFPs & DDQs Module, either click the name of the questionnaire or click on the 3 dots icon in the Actions column and select the View Questionnaire option.

  2. Once the questionnaire is open, the user can answer the questions or edit the questionnaire itself.

Comparing the Questionnaire Import

The Compare Import feature allows you to view the original questionnaire file and the digitized questionnaire side-by-side, making it easier to verify if the questionnaire has been imported correctly.

  1. To Compare the Questionnaire Import, click on the Edit Questionnaire button.

  2. Once in the edit view, click on the Compare Import button.

  3. The original questionnaire file will be displayed on the right-hand side for comparison.

Clickable Links

For questionnaires imported in a DOCX or XLSX format, the import view will include clickable links that can navigate you to specific questions, sections, and subsections throughout the questionnaire.

To determine whether or not your import contains clickable links, you may observe the banner at the top of the import view as shown below.

Exporting a Questionnaire

  1. From the External RFPs & DDQs Module, click on the 3 dots icon in the Actions column and select the Export Questionnaire option.

  2. From the Export Window, select the file type you would like to export the questionnaire as and click theExport button.

    Note: Exported questionnaires to Centrl standard PDF, Excel, or Word formats can be re-imported as shown in the With Import Questionnaire (CENTRL Format) section above. You also have the option to export Word or Excel-based questionnaires (DOCX and XLSX) back to their original format.

Editing Questionnaire Properties

Users can edit property details for questionnaires that are In Progress status.

  1. Click on the 3 dots icon and select the Edit Properties button.

  2. Make your desired edits and click the Save button when done.

Archiving a Questionnaire

Users can archive questionnaires that are no longer relevant to them.

Note: Users can only archive questionnaires that are in the Completed status.

  1. From the External RFPs & DDQs Module, click on the 3 dots icon and select the Archive Questionnaire option.

  2. From the Archive Questionnaire Window, click on the Archive button to confirm.
